Project Management Office and Quality Department Traineeship

Role

The trainees will support the daily activities of the Project Management Office and Quality Department at EUSPA, with responsibilities divided between two traineeship positions. Candidates are invited to indicate their preference in the motivation letter.

The trainee will be expected to carry out under supervision the following duties, according to the area of assignment.

Traineeship with Project Management Office and Cost Engineering

  • Support the cost engineering activities with specific reference to the area of data entry into the cost database, data validation, cost analysis, and benchmarking;
  • Implement and improve the process to compile quarterly and internal reports, documents and presentations;
  • Develop project dashboards, and key performance indicators;
  • Provide administrative support in accordance with department needs (e.g. archiving, document management, data entry and processing, organising meetings);
  • Assist the department in its daily activities and support ad-hoc tasks as required.

 Traineeship with Quality Assurance and Configuration Control Tasks 

  • Assist the department in its daily activities, including participation in internal and/or external meetings; 
  • Implement and improve the process to compile quarterly and internal reports, documents and presentations; 
  • Automatize internal reporting and develop project dashboards; 
  • Develop measures and indicators; 
  • Undertake small process development tasks with implementation of ad-hoc tools; 
  • Support the quality assurance activities for the programme managed by the Agency with specific reference to processes and documentation management; 
  • Assist the department in maintaining the PMQ (Project Management Office and Quality) Service Catalogue; 
  • Support the configuration management activities for the programme managed by the Agency with specific reference to asset management processes; 
  • Provide administrative support in accordance with department needs (e.g. archiving, document management, data entry and processing, organising meetings);
  • Assist the department in its daily activities and support ad-hoc tasks as required.

Qualifications

  1. Knowledge (by training or experience) of cost engineering tasks and/or project management (for the Project Management Office and Cost Engineering profile);
  2. Proactive attitude;
  3. Good knowledge of IT applications, e.g. Microsoft Excel, Text transformers (BERT, GPT) and/or DOORS; knowledge of other applications (e.g. Microsoft Project, Anaplan, PowerBI, database management system/s, PowerPoint) is an advantage; 
  4. Effective communication;
  5. Transversal collaboration and working in teams;
  6. Excellent command of both written and spoken English;
  7. Knowledge of one or more EU languages in addition to English is an advantage;
  8. Motivation for the post.
